Online registration will allow you to register, to submit an abstract and to book an accommodation in a single procedure, if you have prepared everything beforehand.

REGISTRATION CATEGORIES & FEES

REGISTRATION CATEGORIES

Member: Members of societies affiliated to FENS and members of the Society for Neuroscience (SFN).

Non-Member: Participants from academic and nonprofit organisations.

Student: A pre-doctoral student only. Postdoctoral fellows, hospital residents, interns and laboratory technicians do not qualify for the student rate.
Students registering online must send by post or fax proof of their status. Students registering on site will also have to provide such proof. Students will be provided with a special badge.

Corporate: Scientists and representatives of commercial companies that are not eligible for receiving free exhibitor registration.

INITIAL REGISTRATION

If you have already registered, choose Edit Registration, and use your codes to access the registration form.
If you are a speaker or an invited participant, please refer to the Speakers & invited participants section.

ACCESS

Connect to the FENS Forum website, click on the link Registration - Abstract submission, then click on the Initial registration tab.
Fill in the fields with the appropriate information then click on Continue. The registration form will appear on your screen.

REGISTRATION

You are required to go through the 4 steps of the registration form. The form will be saved by clicking on "Submit" at the last step.

Step 1

Contact information
The personal information must be typed in the appropriate fields on the registration form. Please note that your email address is mandatory for internet registration. All information concerning the Forum will be sent to you at this electronic address.

Step 2

Type of presentation

Click on the appropriate radio button (poster presentation as 1st author, etc...).

Scientific sessions

For our information, and to help us allot the different rooms to the sessions, select the sessions you are most likely to attend (see programme).

Step 3

Social events
Indicate if you want to attend the events mentioned.

FENS Students Night: students only. Registration required. Since admission is limited to 1000 persons, it is strongly suggested to register as early as possible. Tickets for admission will be handed out on a first-come, first-served basis.

Special request
If you have any, type in your request in the appropriate field (80 characters maximum).

Step 4

Membership
Select the appropriate menu item if you are member of one of the European neuroscience Societies constituting FENS, or other affiliated societies. Following an agreement between FENS and the American Society for Neuroscience, members of the latter society will also benefit from registration fees as FENS members.
Note that your membership will be checked with these societies.

Registration category
Click on the appropriate radio button corresponding to your status as academic, student or corporate. The registration fee will automatically be filled according to your status (see registration categories & fees).
Students are required to send a proof of their status (e.g. a signed statement from their Department Head or supervisor).

Technical workshops
Select the technical workshop you wish to attend. Please note that there are a limited number of participants and an extra fee (50 euro) for workshops.

Abstract books
Abstract books will be distributed on request only at an extra fee of 30 euro.

Means of payment
The recommended means of payment is by credit card (Visa or Eurocard/Mastercard). FENS has subcontracted payment by credit card to a secure payment service that guarantees confidentiality and security.
You can also pay by bank transfer (additional bank fee).
Please note that institutional orders (from universities, institutes, etc.) and cheques are not accepted. Refer to the payment section for details.

Once you have checked that all the information provided is correct, especially your email address, click on Submit.

CONFIRMATION

WAIT for the confirmation. DO NOT FORGET TO PRINT IT.
Your registration number and confidential code are mentioned on this confirmation; you will need these codes for all correspondence with the Registration secretariat, or to modify your registration and/or abstract.

If you chose to pay by credit card, proceed with the payment (see payment for detailed instructions).

If you wish to modify your registration, click on "Edit" at the bottom of the confirmation page.

You can then proceed with the abstract submission by clicking on the button Submit an abstract.

You should receive a confirmation of your registration by email within 24h-48h. If you do not receive this email, please check your email address.

After registering, you can check and modify your registration form at any time: see Registration editing.

SPEAKERS & INVITED PARTICIPANTS

Although you are pre-registered, you must edit your registration form to update it and validate it.

ACCESS

Connect to the FENS Forum website, click on the link Registration - Abstract submission, then click on the Edit Registration tab. Type in your registration number and confidential code, then click on Continue.

You are required to go through the 4 steps of the registration form (for details, see step 1 to 4 of Initial registration). The form will be saved by clicking on the Save button at the last step.

CONFIRMATION

WAIT for the confirmation. DO NOT FORGET TO PRINT IT.

If you wish to modify your registration, click on "Edit" at the bottom of the confirmation page.

You can then proceed with the abstract submission by clicking on the button Submit an abstract.

You should receive a confirmation of your registration by email within 24h-48h. If you do not receive this email, please check your email address.

REGISTRATION EDITING

Connect to the FENS Forum website, click on the link Registration - Abstract submission, then click on the Edit Registration tab. Type in the registration number and confidential code that were provided on your registration confirmation, then click on Continue.

To modify your registration, you are required to go through the 4 steps of the registration form.
For each step, you can modify any item (or no item), then click on Continue to proceed to the next step.
Changes will be saved by clicking on the Save button at the last step.

You do not need to send a copy of the modified registration form to the Forum secretariat, unless you have a problem.

PAYMENT

Institutional orders (from universities, institutes, etc.) and cheques are not accepted. Payments shall be made in Euro (no other currencies shall be accepted).

CREDIT CARD

This is the recommended means of payment.
Click on "Payment by Credit Card" at the bottom of the registration confirmation page. You will be connected to a secure site (SSL) for electronic payment.
Please note that only Visa or Eurocard/Mastercard are accepted.
Follow the instructions to complete the form, then submit it. WAIT for the bank receipt, even if the transaction fails or if you cancel it yourself. DO NOT FORGET TO PRINT IT.

You must RETURN to the Forum website by clicking on the button "Return to FENS Forum", in order to validate your transaction. Be patient and do not quit your web browser before the end of the procedure.

Important: if you book an accommodation and pay by credit card, you must make two separate payments: one for registration, the other one for the deposit of the hotel reservation. Just follow the instructions during the process of registration and hotel reservation.

BANK TRANSFER

The payment must be sent free of charge for the beneficiary. An additional handling fee of 10 euros is required. Please note that your registration will be valid only on receipt of your payment.
Any unpaid bank charges will be collected on site. Clearly state the participant's name(s), matching with the name(s) on the registration form.

SUPPORTING DOCUMENTS

STUDENTS

You must send to the Registration secretariat

- A copy of your registration confirmation,
- A proof of student status (e.g. a signed statement from their Department Head or supervisor),
- A copy of the credit card receipt or a copy of the bank transfer.
Do not send a copy of your abstract confirmation.

OTHER PARTICIPANTS

- If you pay by credit card, you have completed your registration: DO NOT send anything to the secretariat.
- If you pay by bank transfer, send a copy of your registration confirmation together with a copy of the bank transfer.
Do not send a copy of your abstract confirmation.

CANCELLATION POLICY

Registration

Refund of registration fee minus 30% handling fee for cancellations before March 31, 2006, no refunds thereafter. Refunds are dependent on cancellations in written form only (letter, fax or email), to be received at the Registration secretariat no later than March 31, 2006.
All refunds will be processed after the Forum.
Please note that if you are 1st author of an abstract and cancel your registration, your abstract will not be published.

Abstract withdrawal only

In writing only, by email or fax to the FENS Forum Server Office (Fax: +33 5 5757 3750). State your last name, first name, registration number and confidential code. Withdrawal of an abstract without cancelling registration does not entail refund of the registration fee.
Only first authors are allowed to withdraw their abstract.

Confirmations of attendance will be issued at the registration desk.
